Summary/Objective The receptionist provides general office support with a variety of clerical activities and related tasks; they will be the first and main face when people enter the office.
The receptionist will be responsible for answering and directing incoming calls, mail distribution, flow of correspondence, requisition of supplies, travel arrangements as well as additional clerical duties.
This person will need to be extremely organized, sociable, and comfortable working in an office setting.
We would additionally like someone interested in learning about AP and taking on additional responsibilities as they become comfortable, but this is not a requirement.
The position is part-time and in office.
Essential Functions Print and provide accounting department with all invoices from FedEx and UPS.
File all documentation correctly and efficiently Scan all company documents and upload them to the digital library Answer main-office telephone line and direct caller to the appropriate associate.
Operate listed office machines as required (Ex:
Fax Machine, Copier, Printer, Scanner).
Prepare outgoing mail, sort and distribute incoming mail.
Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.
).
Assist in the ordering, receiving, stocking, and distribution of office supplies; and helping to maintain office inventory.
Schedule travel arrangements for employees as needed.
Communicates incoming mail to employees and distributes accordingly.
Maintain storage unit.
Reconciling and auditing monthly American Express charges.
Take on and handle other tasks/projects as needed.
Required Education and Experience Graduation from high school or GED equivalent 2
